Our prestigious law firm client is seeking an experienced Trust and Company Secretarial Administrator to join their dynamic team. The ideal candidate will bring 3 to 5 years of relevant legal firm experience, with a strong, demonstrable background in trust administration.

Salary: Market Related (Dependent on experience)

Key Requirements

  • Legal qualification (para-legal or equivalent legal studies)
  • 3 to 5 years of experience as a Company Secretarial Administrator, Trust Officer, or Trust and Company Administrator
  • Strong understanding of administrative procedures and systems
  • Excellent business writing and communication skills
  • Relevant regulatory knowledge pertaining to both trusts and companies
  • Solid grasp of basic business principles, terms, and conditions
  • Familiarity with governance, risk, and controls
  • Basic knowledge of annual financial statements and income tax for individuals, trusts, and companies

Core Responsibilities

  • Manage general trust administration and maintain accurate electronic databases and statutory records
  • Liaise with clients and trustees, and arrange, attend, and minute trustee meetings when required
  • Prepare agendas, comprehensive meeting packs, minutes, and resolutions
  • Work in close collaboration with the responsible director and candidate attorneys
  • Ensure ongoing and accurate capturing of documentation and file notes into systems
  • Handle correspondence and liaison with the Master of the High Court, SARS, CIPC, and external service providers
  • Draft amendments to Trust Deeds, related trust documentation, and trustee appointments
  • Manage billing, debtors, time recording, diary management, and FICA compliance across all files
  • Complete annual PAIA filings and maintain company statutory records and minute books
  • Draft and register documentation for simple and complex company, close corporation, and trust matters
  • Prepare and file annual returns, CIPC Compliance Checklists, Beneficial Ownership records, and manage changes to directors, shareholders, and MOIs
  • Handle new company registrations and provide timely reporting and correspondence to clients throughout the registration process
  • Assist with general administrative duties as required
